Data Protection policy for AIPEA Member Lists

DATA COLLECTED
This statement pertains to use of personal data collected by AIPEA (Association Internationale pour l’Etude des Argilles; International Association for the Study of Clays). These data generally include an individual’s name and email address. For ICC newsletters, it may also include professional affiliation, mailing address, or images.
HOW PERSONAL DATA ARE COLLECTED
AIPEA collects personal data under limited circumstances. Most common are when an individual:
- Becomes a member of AIPEA;
- Participates as a speaker, author, or similar capacity;
- Purchases a product;
- Subscribes to a publication; or
- Is or becomes a member of a National Clay Group which is affiliated to AIPEA
HOW PERSONAL DATA ARE PROCESSED
Personal data of individuals may be used for limited purposes. Among them are:
- Membership administration;
- Provision of member benefits and opportunities;
- Delivery of products and services;
- Development of directories;
- AIPEA Newsletter and listserver
LEGAL BASIS FOR COLLECTING AND PROCESSING PERSONAL DATA
There are several legal bases for AIPEA’s collection and processing of personal data:
- For the legitimate interests of AIPEA, including the several uses listed above;
- To perform a contract;
- Based on consent; and
- Legal compliance.
THIRD PARTIES WITH WHICH PERSONAL DATA MAY BE SHARED
AIPEA may share member lists (name and email address) to affiliated societies who are organizing conferences.
SITE OF PROCESSING OF PERSONAL DATA
Personal data of individuals collected by AIPEA may be stored and processed in any country in which AIPEA, its vendors, or partners maintain facilities. AIPEA generally collects and processes personal data in the EU and UK.
PERSONAL DATA AUTOMATICALLY COLLECTED
AIPEA does not automatically collect data.
DATA RETENTION
Personal data may be retained by AIPEA for so long as necessary or useful to pursue the legitimate interests of AIPEA. Other factors may include: the duration of the business or contractual relationship between AIPEA and an individual; archiving of historical information; and legal requirements, including limitations on periods during which a legal claim might be brought.
SAFEGUARDS
AIPEA has implemented reasonable technical, physical, and administrative safeguards to protect personal data collected by AIPEA.
INDIVIDUAL RIGHTS REGARDING PERSONAL DATA
Individuals generally have the right to access their own personal data and to request that AIPEA correct any errors or incompleteness in their own personal data. The contact information provided below should be used for these purposes. There is also a right to request deletion of personal data. Such requests also should be directed to the designated contact.
